Who we are
Mikono is run by Craft Insights IO Limited, a company incorporated in Uganda, of Plot 60A, Ismael Road, Mbuya, Kampala, Uganda. In this policy, “we” and “us” mean Craft Insights, and “you” means the business that uses Mikono.
Questions about this policy go to hello@mikono.app.
Who this policy covers
Mikono is used by businesses, mainly distributors and their staff: owners, back-office staff, field sales reps and drivers. Your administrator creates the accounts for your staff.
Two kinds of data pass through Mikono, and we treat them differently.
Your business records are the customers, orders, invoices, payments, stock and trips you enter or import. You control this data. We process it on your behalf and on your instructions, so that Mikono can do its work for you.
Account and usage data is what we need to run the service itself: who has an account, how they sign in, and technical logs. We decide how this data is used, and this policy explains it.
What data Mikono holds
- Account details: the name, work email, phone number and role of each person with an account.
- Your business records: customers and outlets, products and prices, orders, invoices, receipts, credit notes, payments, stock movements, trips and stops, and expenses.
- Location: the position of a field staff member’s phone while a trip or visit is in progress.
- Photos and documents that staff attach to records.
- WhatsApp messages and voice notes sent to your ordering number, if you use WhatsApp ordering.
- Technical logs: records of requests to our servers, errors and similar events.
How we use it
We use this data to provide Mikono to you: to show your staff their routes and customers, record sales and payments, keep stock, post to your accounting system when you have set that up, answer questions in the assistant, and keep the service secure and working. We also use account and usage data to support you, to find and fix faults, and to tell your administrators about the service.
We do not sell personal data. We do not show advertising in Mikono, and we do not use your data for advertising.
Service providers we use
We use other companies to run parts of the service. Each one receives only the data it needs for its job.
- Convex: database and application servers. Your data is stored in the European Union.
- Vercel: hosts the web application.
- Clerk: sign-in and account security.
- Google and Anthropic: provide the AI models that answer questions in the assistant and read incoming orders. The business records relevant to the request are sent with each request.
- Mapbox: maps.
- Meta (WhatsApp): carries messages when you use WhatsApp ordering.
- Intuit (QuickBooks Online): when you connect your QuickBooks company. See the next section.
- Uganda Revenue Authority (EFRIS): when you issue fiscal invoices through Mikono.
QuickBooks Online
You connect QuickBooks to Mikono when an administrator of your QuickBooks company approves access through Intuit’s sign-in. Until that happens, Mikono has no access to your QuickBooks data.
Once connected, Mikono reads the parts of your QuickBooks company it needs for the settings you choose, such as your company settings, accounts, items, customers, suppliers, classes, locations, tax codes and financial reports. It creates only the documents you have set Mikono to post. Depending on those settings, these can include invoices, sales receipts, credit notes, customer payments, journal entries, transfers, supplier bills and stock adjustments, together with the customers and items those documents need. Mikono does not delete or edit documents in QuickBooks.
We use QuickBooks data only to provide the service to you. It is not sold, not used for advertising, and not shared with other customers.
The connection keys Intuit issues are kept on Mikono’s servers. They are never sent to the browser. When you disconnect QuickBooks in Mikono, we delete the keys. You can also remove Mikono’s access at any time from your QuickBooks company settings.
Security
Connections to Mikono use HTTPS. Within Craft Insights, access to customer data is limited to the people who need it to run or support the service. If a security breach affects your data, we tell you without undue delay.
How long we keep data
We keep your data while your account is active. When you leave Mikono, we return or delete your data at your request.
You may have your own legal duty to keep certain records, for example tax records. That duty is yours, so ask for your data before you ask us to delete it.
Your rights
Under Uganda’s Data Protection and Privacy Act, 2019, a person can ask for access to their personal data, ask for it to be corrected or deleted, and object to how it is used.
If the request concerns your business records, for example a customer asking what you hold about them, the request goes to you, and we help you answer it. Requests about account data can come to us directly at hello@mikono.app.
Changes to this policy
When we change this policy, we post the new version on this page with a new date. We tell your administrators about material changes.
